Buildertrend administration

Keep Buildertrend current enough that your team trusts what it says.

Buildertrend administration support maintains the recurring records that make a residential job legible: daily logs, schedules, selections, change orders, purchase orders, and the client-facing updates that depend on them. The desk keeps the account current and surfaces what needs a decision. Your team keeps approval authority over pricing, selections sign-off, contract changes, and every message that commits the company.

Where this fits: This lane administers an existing Buildertrend account. If you are configuring or restarting a platform rollout, start with ConTech operations; if the platform is JobTread, use the JobTread implementation lane.

THE OPERATING HANDOFF

Define the source, recurring work, and approval boundary.

A reliable service lane starts with controlled inputs and a named client reviewer—not a broad list of tasks with unclear authority.

INPUTS

What the desk needs

  • Buildertrend account access at an approved permission level
  • Active job list, job templates, and current schedule baselines
  • Selection categories, allowances, and the approved catalogue or vendor list
  • Change-order and purchase-order approval rules with named approvers
  • Client communication standard: who may post to the portal and in what tone
  • Daily log minimum standard and the reporting cutoff
CLIENT CONTROL

What stays with your team

  • Approve every selection, allowance, and price presented to a homeowner
  • Own contract changes, change-order pricing, and client commitments
  • Retain account ownership, permission levels, and integration approvals
  • Approve the tone, timing, and content standard for client portal messages
  • Decide warranty determinations and any dispute communication
VISIBLE OUTPUTS

Review the exceptions, not another activity list.

The exact format is agreed during onboarding. These are the operating records the service is designed to keep current.

RECURRING OUTPUTS
  • Daily log compliance summary by job and crew
  • Selections status board with dates and pending owners
  • Schedule variance and look-ahead pack
  • Change-order and purchase-order status register
  • Weekly builder review pack listing decisions required
REVIEW RHYTHM
  • Daily: log checks, portal messages triaged, urgent selections flagged
  • Weekly: schedule variance, selections board, and decisions-required pack
  • Monthly: job documentation audit and closeout readiness review
  • Quarterly: template, checklist, and standard review with the builder
IMPLEMENTATION SEQUENCE

Install one bounded workflow before expanding the scope.

01

Audit the account

Review active jobs, template quality, permission levels, and the gap between what Buildertrend contains and what the team actually relies on.

02

Set the minimum record

Agree the daily log standard, selection deadline rule, and change-order path so completeness can be measured rather than debated.

03

Run one job

Operate the full rhythm on a single active job, then extend the templates and checklists across the portfolio.

04

Publish the review pack

Give the builder a weekly decisions-required list instead of another full-project export.

GOOD FIT WHEN

The workflow has an owner and a review point.

  • Buildertrend is already the intended system of record
  • A named builder or PM will approve selections and change orders
  • Field staff can be reached for daily log follow-up
  • The client communication standard can be written down
NOT THE RIGHT FIT

Authority or source information is missing.

  • The desk is expected to price selections or change orders
  • No one on the client side will approve homeowner-facing content
  • Buildertrend is being abandoned mid-migration
  • Warranty or dispute judgment is expected from the desk

COMMON QUESTIONS

What contractors ask before delegating this lane.

Answers describe how the service is scoped and where authority stays with your team.

What does a Buildertrend virtual assistant actually do?

A Buildertrend virtual assistant maintains the recurring administrative records inside your account: daily log completeness, schedule updates and look-aheads, selections tracking, change-order and purchase-order records, client portal document hygiene, and closeout collection. The role keeps the account current and produces a weekly list of decisions that need a builder. It does not price work, approve selections, or make commitments to homeowners.

Can a virtual assistant post to our Buildertrend client portal?

Only within a written standard you approve. Most teams start by having the desk prepare and organize portal content, documents, and photos while a named builder or project manager posts anything that sets an expectation with a homeowner. As the standard proves reliable, some clients approve routine posts such as schedule notices under a fixed template.

What Buildertrend permission level does the desk need?

The desk works at the lowest permission level that still allows the agreed administrative actions. Permission mapping happens during onboarding: each recurring task is matched to a specific Buildertrend permission, and anything requiring elevated authority stays with your internal team. You own the account and can change or revoke access at any time.

How is this different from hiring a project coordinator?

A coordinator typically carries judgment and authority across a project. This lane is scoped to defined administrative records with a named client reviewer and an explicit approval boundary. That makes the work reviewable and transferable, but it also means the desk escalates rather than deciding when something falls outside the agreed scope.

Do you work with residential remodelers as well as custom builders?

Yes. The record types are similar across custom building, remodeling, and design-build; the difference is usually selection volume, allowance handling, and how much client communication runs through the portal. The standard is set during onboarding against your job mix.

How long before Buildertrend is current again?

That depends on the size of the backlog and how reachable field staff are, not on the desk alone. Onboarding starts with one active job so the rhythm and the daily log standard can be proven before templates are applied across the portfolio. Expect the first weekly review pack within the first operating cycle.
