Procore administration

Keep Procore records current without handing off project authority.

Procore administration support maintains agreed project records, workflows, and exception reports under the permissions your company approves. The desk can organize and escalate administrative work; authorized project participants retain official responses, technical review, contractual notice, financial approval, and final release.

THE OPERATING HANDOFF

Define the source, recurring work, and approval boundary.

A reliable service lane starts with controlled inputs and a named client reviewer—not a broad list of tasks with unclear authority.

INPUTS

What the desk needs

  • Client-owned Procore account and company administrator
  • Project directory and permission templates
  • RFI, submittal, drawing, and document standards
  • Named managers, submitters, approvers, and distribution rules
  • Reporting cutoff and escalation thresholds
CLIENT CONTROL

What stays with your team

  • Assign Procore permissions and administrator authority
  • Choose official RFI responses and technical dispositions
  • Approve submittals and contractual communications
  • Authorize financial, schedule, and change decisions
VISIBLE OUTPUTS

Review the exceptions, not another activity list.

The exact format is agreed during onboarding. These are the operating records the service is designed to keep current.

RECURRING OUTPUTS
  • Current RFI and submittal registers
  • Aging and next-action report
  • Missing-role or permission exception list
  • Weekly project administration pack
  • Closeout document status
REVIEW RHYTHM
  • Daily intake and routing check
  • Weekly aging review
  • PM decisions-required handoff
  • Project closeout readiness review
IMPLEMENTATION SEQUENCE

Install one bounded workflow before expanding the scope.

01

Confirm permissions

Match each administrative action to Procore permissions and the project role authorized to perform it.

02

Standardize the registers

Agree required fields, naming, workflow roles, due dates, and the weekly reporting cutoff.

03

Pilot one project

Run the administration rhythm on a bounded project before scaling templates across the portfolio.

04

Publish exceptions

Give the PM a short decisions-required list instead of another undifferentiated export.

GOOD FIT WHEN

The workflow has an owner and a review point.

  • The project has named managers and approvers
  • Permission levels match the intended actions
  • A source-of-truth rule is documented
  • The PM will review decisions and releases
NOT THE RIGHT FIT

Authority or source information is missing.

  • The desk is expected to issue technical responses
  • Permissions would exceed the approved role
  • The contract workflow is undefined
  • The request replaces design or project-management judgment

COMMON QUESTIONS

What contractors ask before delegating this lane.

Answers describe how the service is scoped and where authority stays with your team.

What does a Procore virtual assistant do?

Directory and document hygiene, RFI and submittal register administration, workflow template maintenance, aging and exception reporting, and closeout tracking. Authorized project participants retain permissions, official responses, technical review, contractual notice, financial approval, and final release.

Can a virtual assistant respond to RFIs in Procore?

No. The desk maintains the RFI register, tracks ball-in-court and aging, chases responses, and surfaces overdue items. The official response to an RFI is a technical and often contractual act reserved for your authorised project team, and Procore permissions are configured to reflect that boundary.

What Procore permission level does the desk need?

The lowest level that supports the agreed administrative actions. During onboarding each recurring task is mapped to a specific Procore permission, and anything requiring elevated authority stays internal. You own the account and control access.

Can you administer multiple projects at once?

Yes, and the register and aging report are designed to work across a portfolio rather than one project at a time. Portfolio-level exception reporting is usually where the value shows up, because it surfaces the project drifting quietly rather than the one already escalated.

Do you produce Procore reports for owner meetings?

The desk maintains the underlying registers and prepares the recurring reporting pack to your agreed format and cutoff. What gets presented, and any commentary or position taken in an owner meeting, remains with your project team.

Is CVA affiliated with Procore?

No. CVA is an independent service and does not claim Procore partnership, certification, or endorsement. Capability statements on this site are checked against official Procore documentation and dated; confirm current features and licensing with Procore.
